How many radios does a hotel event need?

A 300-guest banquet typically needs 10–30 radios: 8–20 banquet service, 4–10 kitchen, 2–5 AV, 2–4 security and 1–2 event management. Add 10–20% spares for multi-day events and shift overlap.

Size the pool by the busiest hour, not the total event duration. Setup may need more radios than service; teardown may need fewer.

How do you handle temporary event talk groups?

Create a temporary channel template for the event: command, banquet, kitchen, AV, security and emergency. Program the radios for the event, label them by role and lock the channel list so a steward cannot change groups.

After the event, wipe the template and return the radios to the hotel’s normal plan. A radio left on the event template will be on the wrong group at the next shift.

Should the hotel rent or buy event radios?

A hotel with year-round banquet business usually benefits from a dedicated event fleet: the radios are always available, programmed to the hotel template and charged in-house. A hotel with a few seasonal events may be better served by rental, which avoids capital, storage and programming workload.

As a planning rule, buying becomes attractive after roughly 15–25 rental days per year. Below that, rental is usually the lower-risk choice.

How do multi-property groups standardise event radios?

Standardise on one radio model, one accessory kit and one channel template. Each property keeps its own licence and site plan, but the event template and the programming file are shared. Staff moving between properties already know how the radio works.

Keep a small pool of loan radios at group level for openings and large events. It is cheaper than rush-buying at each property and keeps the guest experience consistent.
